Team Management
Invite team members, assign roles, manage permissions, and collaborate effectively on your hiring pipeline. Understand how credits are pooled across your team.
Overview
Stori is designed for collaborative hiring. Your entire team can work together to source candidates, review interviews, leave feedback, and manage the hiring pipeline.
- Add as many team members as you need — Stori is priced on company size, with no per-seat charge
- Two roles: Admin (full access) and User (hiring features only)
- Credits are pooled at the company level — any team member can use them
- Unlocked contacts are shared across the entire team
Inviting Team Members
Go to Team settings
Navigate to Settings > Team from your dashboard. Only Admins can invite new team members.
Enter email addresses
Type in the work email address of each person you want to invite. You can invite multiple people at once.
Assign roles
Choose either Admin or User for each invite. See the roles section below for details on what each role can do.
Send invitations
Click send. Each person receives an email with a link to join your organization. They create their own account and are automatically added to your team.
Invite everyone on your hiring team — hiring managers, recruiters, interviewers, and stakeholders. The more eyes on candidates, the better your hiring decisions. There is no per-seat charge, so adding people never costs anything.
Roles: Admin vs. User
Stori has two permission levels. Choose the right role for each team member based on what they need to do:
Admin
Full access to everything in Stori, including:
- All hiring features (sourcing, email, candidates, pipeline, benchmarking)
- Invite and remove team members
- Change team member roles
- Manage billing and subscription (plan, interview credits, payment methods)
- Update company settings (name, logo, industry, email configuration)
- View credit usage across the team
- Access all jobs and all candidates
User
Access to all hiring features, without administrative control:
- Source candidates and search the database (on a Sourcing subscription)
- Send outreach emails
- Review candidates — view interviews, trait scores, benchmark matches
- Leave notes and ratings on candidates
- Manage the pipeline — move candidates between stages
- Cannot access billing, subscription, or team management
- Cannot change company settings
Every organization needs at least one Admin. We recommend having 2 Admins so that billing and team management can be handled if one person is unavailable.
Managing Your Team
From the Settings > Team page, Admins can:
- Change roles — Promote a User to Admin or change an Admin to User. Changes take effect immediately.
- Remove members — Remove team members who have left the company or no longer need access. Removal is immediate — they lose access right away. Their past activity (notes, emails sent, pipeline changes) is preserved.
- Resend invitations — If someone did not receive or lost their invite email, you can resend it.
- View team activity — See who is actively using Stori and when they last logged in.
Team Collaboration Features
Stori provides several features to help your team collaborate on hiring decisions:
- Shared pipeline — Everyone on the team sees the same Kanban board and candidate list. When someone moves a candidate to "Liked" or "Final," the whole team sees it instantly.
- Notes and ratings — Leave notes on any candidate visible to all team members. Notes are timestamped with your name so everyone knows who said what and when.
- Shared contacts — When anyone on the team unlocks a candidate's contact information, it is available to everyone. You never pay twice for the same contact.
- Shared shortlists — Shortlists are visible to all team members, so multiple recruiters can collaborate on building candidate pools for the same role.
Establish a team workflow: agree on what each pipeline stage means, who is responsible for initial candidate review, and who makes final decisions. Consistency across the team makes the pipeline much more useful.
Credit Pooling
Credits in Stori are pooled at the company level, not assigned to individual team members. This means:
- Interview credits — Interview credits your company buys are pooled company-wide. Any team member can use them to invite candidates or employees for interviews.
- Paid interviews — Once your company has paid for a candidate's interview, everyone on the team can watch it without spending another credit.
- Contacts — On a Sourcing subscription, the monthly contact allowance is a shared company pool. Any team member an admin has switched on can spend it, up to whatever per-person ceiling the admin sets.
Admins can see credit usage by team member on the Billing page. This helps you track who is using credits and manage your balance.
If your team is large, coordinate on credit usage to avoid running out unexpectedly. Some teams assign ownership of each job so the same candidate is not invited twice.
There Are No Seats
Nothing limits how many people you add, at any company size. The platform is priced on how many people work at your company, not on how many of them log in — so bringing in hiring managers, interviewers and stakeholders never changes your bill. They are also the people whose watching is what you pay for, which is exactly the wrong thing to tax.
