Candidate CRM
The Candidates page is your unified database of every person who has ever entered your hiring process — across every job, every source, every stage. Use it to search across your full pipeline, run bulk actions, and re-engage past candidates for new roles.
What the CRM Covers
Each job has its own focused views (Source, Shortlist, Hiring). The Candidates page sits above all of them. It shows every candidate in your company database regardless of which job they originally came in through, with a Job column so you can see context.
You'll typically use it for three things:
- Find a candidate when you don't remember which job they applied to.
- Re-engage strong past applicants for a new role ("silver medalists").
- Run cross-job analysis — for example, "show me everyone with a Stori Score above 80 we haven't moved past Qualified."
List vs. Grid
Two view modes, toggled in the page header:
- List view (default, 12 per page) — compact rows showing name, current title, company, job applied to, stage, Stori Score, interview score, and contact status. Click any row to expand and see experience, education, and skills inline.
- Grid view (32 per page) — card layout with photo, intro/interview slide options, and the same scores. Better for visual scanning when you have a lot of candidates and want to recognize faces.
Searching the CRM
The search bar supports two distinct modes:
- Natural language search — type what you're looking for the way you'd say it ("Senior Product Designers from tech companies with Python experience"). Stori parses your sentence and applies the right filters automatically. Click the mic icon to dictate the query instead of typing.
- Interview transcript search — switch the search mode to look inside the actual interview transcripts. Find candidates who mentioned a specific tool, skill, or experience. See Interview Search for details.
Filters
The sidebar holds the standard filters:
- Job — narrow to a specific job applied to.
- Stage — Qualified, Progressed, Final (multi-select).
- Interview status — has interview, no interview, or both.
- Free-text fields — name, job title, company, location.
The "Clear filters" link resets everything; the count of filtered results sits next to it so you always know how many candidates match.
Bulk Actions
Select multiple candidates to reveal the bulk bar:
- Invite — send a Stori interview invitation (uses 1 interview credit once the candidate completes the interview).
- Resume invite — request a resume upload via email.
- Add to job — attach selected candidates to a different open role. Useful for repurposing strong candidates from a closed req.
The "Add to job" flow is the silver-medalist play — the same candidates get a fresh shot at a new role without you re-sourcing from scratch. Filter by stage = Final and outcome = Rejected (with reason "we hired someone else") to find the best targets.
Candidate Detail
Clicking a candidate from the CRM list opens the job-scoped detail page — a tabbed view showing Profile, Interview, Traits, and Notes for that candidate within the context of the job they applied to. The right side has an inline email composer with template support.
There's also a standalone candidate page at /client/candidates/[id] with a simpler card view, useful when you want a quick at-a-glance summary without all the tabs. From there you can jump to the parent job's shortlist or open the unified Interview Report.
Notes (Activity Feed)
Every candidate has a notes panel that doubles as an activity feed. Notes are categorized so the team can scan for the type of context they need:
- General, Interview Feedback, Phone Screen, Reference Check, Hiring Manager, Offer, and Private.
Each note shows the author and a relative timestamp ("3h ago"). Filter the feed by category at the top of the panel; counts per category surface so you can quickly tell whether a candidate has any reference checks logged, for example.
Private notes are visible only to the author and admins. Use them for sensitive context (compensation conversations, personal circumstances) that shouldn't be visible to the whole team.
The Interview Report
If a candidate has completed both the trait assessment and the Stori interview, they get a unified report at /client/candidates/[id]/report. It combines:
- Trait scores with visual chart and benchmark comparison (if you've benchmarked).
- Interview transcript with timestamps and speaker labels.
- AI-generated summary highlighting key insights.
- Match score against your benchmark profile.
If the candidate has only completed one or the other, the report renders only the available section and shows a placeholder for the missing piece.
