Send personalized outreach to candidates from your own email address. Connect Gmail or Outlook, use AI-assisted drafting, create email sequences, and track engagement.
Overview
Stori's email outreach tools (part of Sourcing) let you reach out to passive candidates directly from your own email address. You can send individual emails, bulk campaigns, and automated multi-step sequences — all from within Stori.

Email outreach requires a Sourcing subscription ($249 a month for 500 contacts). You also need to connect a Gmail or Outlook account before you can send emails.
Connecting Your Email Account
Before sending outreach, connect your email account so Stori can send emails on your behalf:
Go to email settings
Navigate to Settings > Email or click the email connection prompt when you first try to send outreach.
Choose your provider
Select Gmail or Outlook. Stori uses OAuth authentication — you are redirected to Google or Microsoft to authorize access. Stori never sees or stores your email password.
Authorize access
Grant Stori permission to send emails on your behalf. This is a standard OAuth flow used by many professional tools.
Configure sender details
Set your sender name (how your name appears to recipients), reply-to address, and default email signature.
Each team member connects their own email account. This means outreach emails come from individual team members' addresses, which feels more personal and gets higher response rates than emails from a generic address.
Composing Emails
You can send emails to candidates whose contact information you have unlocked. There are two ways to compose:
Single Email
Write a unique, personalized email to one candidate. Best for high-priority prospects where you want to invest time crafting the perfect message. Click on a candidate's profile and select "Send Email" to compose.
Bulk Email
Send personalized emails to multiple candidates at once. Select multiple candidates from your list, choose a template or write a message, and Stori sends individual emails to each person with their specific details merged in.
Stori enforces an 80 email per day limit to protect your email deliverability and sender reputation. Sending too many emails too quickly can trigger spam filters. The 80/day limit helps ensure your emails reach inboxes.
AI-Assisted Email Drafting
Stori's AI can draft personalized outreach emails for you. The AI reads the candidate's profile (job title, company, skills, experience) and your job description, then generates a compelling email tailored to that specific candidate.
How to use AI drafting:
Select a candidate
Open the email composer for a candidate whose contact you have unlocked.
Click Generate with AI
Click the "Generate with AI" button. The AI analyzes the candidate's background and your job requirements.
Review the draft
The AI generates a personalized email that references specific details from the candidate's profile — their current role, relevant skills, company, or experience.
Edit and send
Review the draft, make any edits, add your personal touch, and send. You can also regenerate if the first draft does not feel right.
AI drafts are a starting point, not a final product. The most effective outreach emails combine AI personalization with your own authentic voice. Spend 30 seconds adding a personal touch to each email — it makes a measurable difference in response rates.
Email Templates
Create reusable email templates for common outreach scenarios. Templates support merge variables that automatically populate with candidate-specific information:
- Candidate name — The candidate's first or full name
- Current job title — Their current position
- Current company — Where they currently work
- Job title — The role you are hiring for
- Company name — Your company name
Templates are shared across your team, so everyone can use the same proven messaging. Create templates for different scenarios: initial outreach, follow-ups, specific roles, or candidate seniority levels.
Email Sequences (Drip Campaigns)
Email sequences are automated multi-step campaigns that send a series of emails to candidates on a schedule. This is the most effective way to do outreach at scale because most responses come from follow-up emails, not the initial message.
How sequences work:
- Step 1: Initial email — Your first outreach message, sent immediately or on a scheduled date.
- Step 2-4: Follow-ups — Additional emails sent automatically after a set number of days (e.g., 3 days, 7 days, 14 days).
- Auto-pause on reply — If a candidate replies to any email in the sequence, all future emails in that sequence are automatically paused. You never accidentally send a follow-up after someone has already responded.
- Auto-pause on bounce — If an email bounces (invalid address), the sequence stops to protect your sender reputation.
- Auto-pause on unsubscribe — If a candidate clicks unsubscribe, all future emails stop immediately.
Creating a sequence:
Create a new sequence
Name your sequence and select the job it is associated with.
Add email steps
Write or generate each email in the sequence. Set the delay between steps (e.g., wait 3 days after the previous email).
Add candidates
Select the candidates you want to enroll in this sequence. They must have unlocked contact information.
Activate the sequence
Start the sequence. Stori will send the first email and automatically queue follow-ups according to your schedule.
A 3-step sequence (initial email + 2 follow-ups) over 2-3 weeks is a strong starting point. Keep follow-up emails shorter than the original, and add new information or a different angle in each step.
Interview Snippet Insertion
Stori offers a unique feature: you can embed short video clips from candidate AI interviews directly into your outreach emails. This is a powerful way to engage candidates and show them that your hiring process is modern and transparent.
Interview snippets can be used in different scenarios:
- Share a video clip of a current employee's interview to give candidates a feel for your team and culture.
- Include a snippet from a hiring manager's recorded introduction to personalize your outreach.
- Embed video content that showcases your company's commitment to a thoughtful hiring process.
Email Tracking and Analytics
Stori tracks the performance of your outreach emails so you can optimize your approach:
- Sent — Total number of emails sent. Confirm your outreach volume is on track.
- Opened — How many recipients opened your email. Low open rates may indicate subject line issues or deliverability problems.
- Clicked — How many recipients clicked a link in your email. This shows engagement beyond just opening.
- Replied — How many candidates responded. This is your most important metric — it measures actual engagement.
You can view tracking data per email, per sequence, and per candidate. Use this data to refine your subject lines, messaging, and follow-up timing.
If your open rate is below 30%, experiment with shorter subject lines. If your reply rate is below 5%, try adding more personalization or a stronger call to action. A good benchmark for cold recruiting outreach is 40-60% open rate and 10-20% reply rate.
Tips for Effective Outreach
Subject lines:
- Keep it short — under 50 characters performs best
- Be specific — "Engineering Manager at [Company]" outperforms "Exciting opportunity!"
- Avoid spam triggers — no ALL CAPS, excessive punctuation, or words like "free" or "urgent"
- Personalize when possible — including the candidate's name or company can boost open rates
Email body:
- Keep it under 150 words — shorter emails get more replies
- Reference something specific about the candidate — their current role, a skill, a company they worked at
- Clearly explain why you are reaching out and what the opportunity is
- Include one clear call to action — ask for a 15-minute call, not a resume or application
- Make replying easy — "Would you be open to a quick chat?" is more effective than "Please submit your application"
Follow-ups:
- Wait 3-5 days between emails
- Keep follow-ups shorter than the original
- Add new information or a different angle — do not just repeat the first email
- 2-3 follow-ups is appropriate for recruiting — more than that feels pushy
- Most responses come from the second or third email, not the first
