Managing Your Shortlist

Your Shortlist is the working list of hiring managers you intend to reach out to. It's where saved targets sit between sourcing and sending — with status tracking that tells you what stage each conversation is in.

What the Shortlist Is

When you find a promising hiring manager on the Source page and click Add to Shortlist, they land here. The shortlist is your working surface for outreach — it tracks every contact's outreach status so you always know who's been emailed, who's replied, and who's still waiting.

Status Tracking

A status counter at the top of the shortlist tells you at a glance where each contact stands:

  • Drafted — you've started a draft email but haven't sent it yet. Useful as a "to do" queue.
  • Sent — your email has gone out.
  • Replied — the contact has responded. Detected automatically through your connected Gmail or Outlook.

Click any status to filter the table down to contacts in that state.

Adding Contacts

There are three ways a hiring manager ends up on your shortlist:

  • Single add — from a Source result, click Add to Shortlist on the contact card.
  • Bulk add — select multiple contacts in Source, then Add Selected. This unlocks them and creates draft emails in one action.
  • Manual add — paste in a contact you found elsewhere. Their email becomes the unique identifier; if they're later in the PDL database too, the records merge.

Editing Contact Info

Sometimes the email PDL has on file isn't the best one. Click any contact to open their detail panel and edit:

  • Email — replace with a personal address you found elsewhere.
  • Phone — useful if you're going to follow up by call.
  • Notes — context for yourself ("met at Web Summit," "intro from Sarah").

Editing a contact's email doesn't refund a credit if you originally unlocked the wrong one. But once you've corrected it, future sends use the new address.

Bulk Actions

Select multiple shortlist rows to reveal the bulk action bar:

  • Draft emails — create a draft for each selected contact, with variables already populated. You go through and customize each one before sending.
  • Enroll in sequence — drop selected contacts into one of your sequences.
  • Remove from shortlist — delete selected contacts. Doesn't refund credits if they were unlocked.

Saved Views

Save a filter combination — by status, by tag, by company, by location — as a Saved View, and reload it with one click. Useful patterns:

  • "Drafted but not sent" — your to-do queue.
  • "Sent over 7 days ago, no reply" — candidates for a follow-up sequence.
  • "Top 3 target companies" — when you want to focus.
